Administrative Assistant

In support of our client, an electrical construction and engineering firm, we are actively searching for an Administrative Assistant to join their team in Nashville, TN. This is a direct hire opportunity with the client.

In this role, the selected candidate will provide general office support, act as liaison between local office and corporate staff, support human resources requirements, prepare various correspondence and reports, plan meetings, develops spreadsheets, handle payroll and accounting items, prepare and track proposals.

Job Requirements:
Successful candidate will also have high attention to detail with ability to anticipate needs. Must have the ability to work in a fast-paced, demanding environment with many interruptions and changes in priorities; excellent communication, grammar, and computer skills; effectively communicate with people at all levels; work efficiently with minimal supervision; and exercise discretion, independent judgment, confidentiality and diplomacy. Proficient in MS Word, Excel, and Outlook.

  • General receptionist duties (processing mail, operating phone system, greeting visitors)

  • Completing credit application and bid forms

  • Safety reporting and workman’s compensation management

  • Scheduling and tracking employee training for upwards of 20-30 employees

  • Manage payroll and invoicing on a weekly, monthly, quarterly and yearly basis (Certified payroll experience preferred)

  • Assist with human resources procedures, employee insurance and hiring procedures

  • Producing/editing/copying/binding letters, memos, charts, correspondence, agreements, reports, proposals, specifications, and contracts.

  • Scheduling, confirming, meal planning and set-up for meetings (both internal and external) including sometimes complex travel arrangements.

  • Assisting and/or performing production, preparation, packaging, and shipping of complex project submittals.

  • Effective communication (written and oral) with co-workers, clients, vendors and others.

  • Attention to detail, planning, and organization.

  • Intermediate or advanced knowledge of Microsoft Suite programs (Word, Excel, Outlook, and PowerPoint).

  • Assist internal staff with all aspects of company promotion and business development

  • Prior construction, engineering or architectural experience preferred

  • Minimum 5 years of directly related experience or a degree in business administration, marketing, communications, or similar degree
